Training Your Accounting Technicians in AI: A 30-Day Plan
Your accounting technicians are on the front line of day-to-day work. They’re the ones handling volume—categorization, data entry, verification, reconciliation. When they master AI, the impact ripples through your entire firm’s production chain.
Week 1: Demystify
The first barrier is psychological. Many technicians fear AI will replace them. Address this fear directly and honestly: AI doesn’t replace the technician—it replaces the grunt work. The technician becomes a supervisor and quality controller instead of a data-entry robot.
Show concrete examples from your firm: “Right now, Maria spends 6 hours a week categorizing transactions. AI can do 90% of it automatically. Maria will spend 30 minutes reviewing and correcting. That frees up 5.5 hours for higher-value work.”
Week 2: Hands-On Basics
Give them access to ChatGPT or your firm’s AI tool. Start with simple tasks: “Explain what a journal entry is,” “Draft a client email about RRSP deadlines,” “List five questions to ask a client about home office deductions.”
The goal: comfort with the tool, familiarity with asking clear questions.
Week 3: Real Work
Move to their actual job. “Use AI to generate a first draft of your transaction categorization list. Review it, correct it, refine it. Then use that list to categorize this month’s transactions.” They see immediate productivity gains.
Week 4: Mastery and Integration
By week four, they’re comfortable. They know what AI does well (bulk analysis, pattern recognition, draft creation) and where it fails (judgment calls, unusual situations). They’re also finding their own efficiencies and asking better questions.
